Questions to Ask at a Potential Reception Venue

There are a myriad of questions that come to mind when you are searching for a venue for your wedding reception. Below you will find a list of wedding venue questions to ask. Take it with you when interviewing a venue manager/owner.
This list is broken into sections including General, Decor, Catering/Beverage Service and Other Services to make it a bit more easy to digest. Good luck and congratulations!


General Venue Questions:

How many guests can you accommodate comfortably?
Do you have a blank floor plan available?
Do you have sample floor plans for the same number of guests I am having?
Are tables and chairs included in the venue rental price?
Do you provide a site coordinator for me to work with prior to and on the day of my reception?
Is there a deposit? If so, how much and can I get it back if I have to cancel?
Do you have any special areas suitable for taking photographs in the venue or on the grounds? (gazebo, pond, park area, etc…)
Do you have a room available for the bride and groom to change or just relax for a moment away from the crowd?
Do you have adequate restrooms, parking and coat check available?
Do you host more than one event per day? If so, what effect will that have on my reception?
Do you have a dance floor? Is there an extra fee to use it? Can I bring in a portable dance floor?
What, exactly, is included in the venue rental fee? (linens, dishes, wait staff, bartenders, etc…)


Decor Guides for the Venue:

Do you allow open flames? (candles, luminaries, lanterns)
Are there any specific rules about the use of candles? (holder type, type of candle, etc…)
Are there any permanent fixtures or decor that we cannot take down? (bar, buffet, pictures, stage, flags, lectern, etc…)
Are we allowed to decorate the ceiling and walls?
Do you allow the use of confetti on tables?
Do you allow rice or birdseed to be thrown outside? If not, what alternatives do you suggest?
Who is responsible for setting up, decorating and tearing down?
If we are decorating, what time can we get in?
If we are breaking down, when should it be completed?
Are there any additional costs and/or options we have not covered?


Catering and Beverage Service Questions:

Do you do your own in-house catering?
Do you allow outside caterers? If so, if there an extra fee?
If you do the catering, can we set up a menu tasting? Is there a fee for this? How many people can join me at the tasting?
Do you have a liquor license and associated insurance?
How late can alcohol be served? (some cities and counties have laws limiting alcohol service after a certain time.)
Can you provide buffet service for our meal? Is there an additional cost?
Can you provide a plate served meal? Is there an additional cost?
Do you offer any packages (including bar) and food?
Will your staff cut and serve the wedding cake? Is there a fee?
Do you supply a wedding cake or can I use my own baker?
Is there a special price for feeding vendors? (photographer, D.J., wedding coordinator, etc…)
Are there any additional costs we have not covered?


Other Services/Costs Questions:

What optional services do you provide and what are the costs?
Do you have a list of preferred vendors?
If you do, do I have to use a vendor from the list?
Do you have a sound system a band or dj can plug into?
What are the administrative costs and fees we have not covered? (service fees, insurance, valet parking, cancellation fee, gratuities, etc…)
Do you have audio/visual capabilities? Is there an extra fee?

It’s easy to get sidetracked by beautiful decor and fixtures but these questions deserve answers. You want to choose the best possible location for your wedding reception and that includes knowing all the details!
